The first question is what happens when the workflow produces subpar results.

Does it create rework? Does it cause customer friction? Does it hide risk until someone notices too late? Does it leave an owner unclear? Does leadership have to keep asking for status because the workflow has no shared source of truth?

Those answers decide whether the workflow deserves attention.

After that, the tool decision gets easier. Stable triggers and predictable actions point toward simple automation. Messy ownership and status visibility point toward an operating system. Interpretation-heavy work may need an AI-assisted prototype, but only after the context and review boundaries are clear.
